Things that a customer needs to know BEFORE ordering from our website.

Shipping Orders
We ship all products on the next business day whenever possible (stock permitting). Stock delays are typically reported within 48 hours via e-mail. All residential deliveries are curbside deliveries. You need to consider accessibility to your street or driveway when choosing the residential delivery option, as orders are typically shipped via full size semi truck. In the event that the delivery truck cannot get to your home, your order will need to be transferred to a smaller truck if one is available (additional fees may apply). If a smaller truck is not available, you will be asked to pick up the items at the trucking terminal. Residential delivery fees paid cannot be refunded if this occurs.
Tracking Orders
Once you have received confirmation of the carrier and the tracking number via e-mail for your purchase, you may track your order either by going to the website of the carrier or calling them directly.
Replacements and Damages
At the time you receive your order, you need to be aware that you MUST check the order for damages or missing items. If you do not check the materials yourself, please make sure that the person signing for them checks for damaged or missing items. If no damages are noted on the bill of lading, Award Hardwood Floors cannot be held responsible for any damages or shortages that occur. You should look for anything suspicious, such as rounded corners, denting and gouges. It is important at this stage to come up with an accurate count of damaged or missing pieces and note them on the bill of lading. If upon closer inspection you decide that you might be able to utilize the damaged materials, you should still note the damages and attempt to make use of what you can. If after noting the damage you decide you cannot utilize the materials, contact Award Hardwood Floors and we will advise you of what to do with the materials on hand or ask that they pick up the useless materials to prevent you from having to store them.
Not every order will have visual proof of damage on the outside. If you accept a shipment and sign for no damages or shortages, later discovering that there indeed are damages or shortages hidden from view, you must contact the delivering carrier to file a claim directly with them. Award Hardwood Floors will not file any claims on your behalf. Installation of flooring is considered acceptance of the product. We are happy to answer any questions in the unlikely event that your order is damaged in shipment, and we can assure you that as long as any damages are noted properly, there will not be any difficulties in the replacement process. You will be required to sign a claim form and provide that to carrier's claims department. It is recommended you file a claim with the freight carrier immediately to ensure that any damages are noted and taken care of properly. Once reported, the damaged material is the property of the carrier, by law, and they have 120 days to decide if they wish to inspect, pick up or advise to discard the damaged material. Unless otherwise advised by carrier, do not throw away or destroy any damaged material received. Award Hardwood Floors cannot be held responsible for any damages or shortages that occur due to the fact that the carrier is responsible once the product leaves our possession.
Refusals
All refusals must first be approved by your salesperson. Please note also that any refused shipments without the consent of the company will be treated as a return and will be subjected to all the costs associated with a return. Even if there is damage on the order, please note the damage and accept the order, you will file a claim with the shipper and replace the noted damaged items. All requests for return must be made within 15 days of receiving product.
An Important Note About Product Images
Product images will vary in color due to many factors such as monitor type, scan quality, etc. Images are not intended to duplicate exact visual appearance, but to serve merely as a guide or point of reference. If you require accurate visual inspection of a product for such things that cannot be conveyed accurately by this image, such as color, feel, etc., we recommend you obtain a sample of the product to inspect prior to purchasing.
An Important Note About Samples
Hardwood floors are beautiful and unique products of nature which are characterized by distinctive variations in grain and color. These natural variations in color and grain are not flaws, but are a part of the natural beauty and uniqueness of the flooring. Keep in mind that the small samples we send out will be subject to these variations, and may be quite unique when compared with the final product. Samples should only be relied upon to give representation of the finish and quality of manufacturing. Flooring can vary up to 20% increase or decrease in color between a sample and the actual flooring product.
Shipping Policy
When your order arrives, you want to be sure the quantities match what you ordered. To guarantee customer satisfaction, please make note of the following when receiving your order:
Visually inspect the condition and entirety of the shipment, make sure to note missing items or damaged materials. The order confirmation email you received lists all the materials and quantities you ordered. If your bill of lading does not list by quantity (e.g. one (1) shrink wrapped pallet), you will need to examine the pallet and count each item to make sure everything ordered has been received.
Unless specifically requested (additional cost), all deliveries are curbside. This means that you (or someone able) must be home to take the material from the trailer to your home. The driver will only unload to the curbside and are not allowed to enter your home.
Once unloaded, it is recommended to store the flooring in the location where it is to be installed. This will serve two purposes: 1) it will allow the flooring to acclimate, and 2) reduce the number of times you will have to move the flooring. Cartons can weigh up to 65 lbs. depending on the product (50 lbs. average).
DO NOT let the driver leave until you have verified the material received is in good condition and that all material has been accounted for. Any damages or missing items must be noted on your delivery receipt. If not noted, it increases the amount of time required to seek resolution. And in such cases, you will be required to file directly with the carrier. See our Damages Policy for more information.
Conditions:
Taking into consideration the many variables in shipping, we strongly recommend that you do not book your installer until after you have received your order in its entirety. Manufacture times, weather, supply-demand conditions, and replacement shipping for damaged items are just some of the instances that may delay your order. Please schedule your install to ensure you have allocated time to receive your order. We cannot be held liable for failure to meet scheduled install dates due to delivery. Delivery dates are approximates, and as such, cannot be promised under any circumstance.
Damages Policy
All carriers are selected through stringent guidelines for service and quality control. If you have a concern regarding delivery, please advise our customer care department immediately. In the slim chance that you receive damaged order, please review the following steps:

Manufacturers' warranties do not cover: moisture-related concerns (buckling, cupping and gapping), indents such as scratches from heels, shoes, pets and others; inexperience or customer-related install errors; Color fading and/or darkening is a natural occurrence caused by exposure to UV rays (direct sunlight) and is not considered to be a product defect.

If you received a defective item or found defects on products before installation, we will be happy to take care of the issue. Please follow the steps below so that your claim may be processed in a timely manner:

At Award Hardwood Floors, we're here to provide the best customer service in the industry, even if you have items to return. If that's you, the following detail should provide all the information you need. If you still have questions, please call us at 1-888-862-9273.
The minimum carton return amount is four. If you have three or fewer cartons left over, keep in storage. Extra materials are handy for repairs, should you need them. Otherwise, you may return or exchange four or more unopened, resalable items to Award Hardwood Floors within 15 days after shipment or will call availability, some restrictions apply.
If you decide to cancel an order, please call us immediately, as all order cancellations must be processed initially by phone. After your first call, we will follow up by e-mail with cancellation or return updates.

Send us an e-mail at: woodfloors@solarus.net and include a picture of the item ID on the product label, or simply provide the item ID with a complete description of the product received. We'll correct the problem right away.

Customer Satisfaction Guarantee
The customer comes first -- this is our company philosophy. Open communication is the most effective way to ensure Total Customer Satisfaction. In accordance with our belief, we have instituted the following policies to ensure clear communication with our customers. It is our hope that these key policies will enable us to attain the highest customer satisfaction in the business.
In the event of a claim, the customer is responsible for supplying us with product samples via UPS and/or digital or normal photographs showing the problem before any credit or claim can be processed. If the product does have a manufacturing defect, the UPS charges for sending the sample materials will be refunded in full.
If the samples or photographs cannot identify the problem(s), a certified inspector will be called in to look at the floor.
The certified inspector will analyze the reported problem and issue a report on his/her findings. If the product has a manufacturing defect, we will replace the product material at no cost, including shipping of the replacement product and return of the defective one. In the case of discontinued or unavailable products, a product of similar price and quality may be used as a substitute.
If the certified inspector does not find a manufacturing defect with the product, the customer will pay the entire cost of inspection.
Labor costs will not be covered for materials that have already been installed.
After opening no more than three (3) cartons, if you notice a possible defect, STOP! Contact your sales representative right away. Do not continue with the installation. We will not issue credit for products that were opened after the first three cartons in the event of a product defect. For items damaged by a carrier, claim information must be received within 15 business days of the delivery date.
Products not installed correctly will not be considered defective. Responsibility for final inspection and approval falls to the customer and installer prior to permanent installation. It is the installer's responsibility to check color, finish and quality before installation. If your installer is not satisfied with the flooring prior to installation, then do not install the floor and contact us right away. We are not responsible for any costs associated with repairing or replacing boards that were installed with evident defects.
